How to ask a colleague to swap shifts

Updated October 13, 2026 · with an example to try

Name the exact shifts with dates and times, say you checked that the swap leaves both of you enough rest, and say what happens next: who enters it in your scheduling app, and when you need an answer. For a three-way swap, ask everyone at once, since it only works if all agree.

Your message

Hi Ava, would you swap shifts with me? You'd take my Sat, Nov 7 night (19:00 to 07:00), and I'd take your Wed, Nov 4 day (07:00 to 19:00). I checked, and it leaves us both at least 11 hours off around the new shifts. If it works, I'll enter the swap in our scheduling app for you to approve. Could you let me know by Thursday evening?

Sample names and shifts; change them to yours. The message says you checked the rest only if you tick the box. To check one swap for both of you, use the free swap check below.

Pick what you want, change the names and shifts to yours, and copy the message into a text or your group's chat.

If you find the swap in Capillary's Find a swap, Send a swap request does this for you: each colleague gets a link to answer yes or no without an account, and you see every answer in one place (swap requests).

What a good ask says

  • The exact shifts: day, date and hours, not "my Saturday".
  • That you checked the rest for both of you, if you did. The EU's working time rules give at least 11 hours of rest in every 24, and a review of 22 studies found signs that quick returns, 11 hours or less between shifts, harm sleep and add to sleepiness and fatigue.
  • What happens next: you enter the swap in your scheduling app and they approve it, or your scheduler does.
  • When you need an answer, so a no comes early enough to ask someone else.
  • For a giveaway, whether you can take one of their shifts later.

Who to ask first

For a one-for-one swap or a giveaway, ask one person at a time, starting with whoever is most likely to say yes, so two people don't both agree. For a three-way swap, ask both colleagues together, or the less likely one first: it fails without them. Capillary's Find a swap puts the colleagues most likely to say yes first, and names who to ask first on each three-way swap.

Before you send

  1. 1

Check rest for both of you

The free swap check tests one swap for overlaps and rest for you and your colleague.

  2. 2

    Check your group's rules

Some groups limit nights in a row, hours a week or who covers which area. The swap policy guide lists what groups usually check.

  3. 3

    Make no easy to say

A short, specific ask with a date to answer by is easy to accept and easy to decline.

Common questions

Should I ask in the group chat or one person at a time?
For a one-for-one swap or a giveaway, one person at a time, so two people don't both say yes. For a three-way swap, everyone in it together, since it needs every yes.
What if we both agree but the swap breaks a rule?
Your scheduler can still turn it down. Check rest and your group's rules before you ask, so a yes holds.

Find swaps in your own group's schedule.

Find a swap is free for clinicians. Bring in your group's schedule from its calendar link, and Capillary checks every swap for overlaps and rest for both people, puts the colleagues most likely to say yes first, and finds three-way swaps, and bigger ones where smaller swaps run short. Your copy is yours: no one in your department or hospital sees it (who can see what).
