Send a swap request and see who said yes
Updated October 13, 2026 · with an example to try
From any swap in Capillary's Find a swap, Send a swap request gives each colleague their own link to text or share. They open it without an account, see their part checked against their shifts, and answer yes or no. You see every answer. Once everyone says yes, you enter the trades in your scheduling app, and Capillary ticks each off when the calendar shows it.
See a request play out
Example · runs in your browser; nothing you enter is sent
In this example you are Sam Rivera, and you sent the three-way swap from the sample group: Cy takes your Saturday night, Ava takes Cy's Saturday day shift, and you take Ava's Wednesday day. Answer on Cy's and Ava's pages, then refresh the calendar.
Your view: your requests for this shift
Three-way swap with Cy and Ava
Waiting: 0 of 2 said yes- Cy: no answer yet
- Ava: no answer yet
What Cy sees
Swap request from Sam Rivera
Would this swap work for you?
Fits your shifts in the group's schedule: no clash, 84 hours off before it and 36 hours after.
The whole swap
- 1. You take Sam Rivera's Sat, Nov 7 night
- 2. Ava takes your Sat, Nov 7 day
- 3. Sam Rivera takes Ava's Wed, Nov 4 day
- You: no answer yet
- Ava: no answer yet
What Ava sees
Swap request from Sam Rivera
Would this swap work for you?
Fits your shifts in the group's schedule: no clash, 36 hours off before it and 60 hours after.
The whole swap
- 1. Cy takes Sam Rivera's Sat, Nov 7 night
- 2. You take Cy's Sat, Nov 7 day
- 3. Sam Rivera takes your Wed, Nov 4 day
- Cy: no answer yet
- You: no answer yet
A demonstration with sample names and shifts: nothing is sent, and the calendar refresh is pretend. In Capillary, each colleague opens their own link, with no account. In this example you enter the swap as two trades, with Cy and then with Ava.
The sample is the swap from the three-way swap guide: Cy takes your Saturday night, Ava takes Cy's Saturday day shift, and you take Ava's Wednesday day. Say yes on both pages, then refresh the calendar twice. Or say no on one, or withdraw, and see what each person is told.

Pick a swap
Every swap in Find a swap has Send a swap request: your best bets, a colleague's other swaps, the people who can take your shift outright, three-way and bigger swaps, and giveaways through colleagues.
- 2
Send each person their link
Text opens your phone's messages with the request and the link; Copy link and, where your browser has it, Share work too. Copy one message for a group chat puts everyone's link, by name, in one message. Capillary never needs anyone's phone number or email.

Follow the answers
The shift's swap page opens with Your requests for this shift: who said yes, who said no and who hasn't answered yet. You can copy the links again or withdraw the request. Each request shows where it stands: Waiting: 1 of 2 said yes, Everyone said yes, or Done.
What your colleague sees
- Who the request is from, and their own part: the shift they take and the shift they give, checked against their shifts in your group's schedule when they open it, for example "Fits your shifts in the group's schedule: no clash, 14 hours off before it and 20 hours after." If something has changed since you sent it, a Check first line says what.
- For three or more people, the whole swap step by step, and everyone's answer so far.
- Yes, this works for me, or No, thanks. They can change their answer while the request is open, and even after everyone says yes, anyone can still back out with I can't do this anymore.
- Never how likely Capillary thinks anyone is to say yes, or why. That stays in your account.
- No account and no sign-in. The page isn't listed by search engines.
When everyone says yes
Your request reads Everyone said yes and lists each step of the swap. You enter the trades in your scheduling app. Your colleagues' pages say you will, and to approve a trade there if their app asks. Your other open requests for the same shift close as Closed: you agreed another swap, and their links thank the people in them for looking.
Each time Capillary refreshes your group's calendar, it checks the request. A step that shows up is ticked "in the calendar", and when every shift is in its new hands, the request is Done.
When someone says no, or the schedule changes
- A no closes the request as Turned down. That colleague's swaps for this shift carry Said no and show last, so your next ask goes to someone else.
- A request closes on its own if one of its shifts moves to someone else or disappears from the calendar (Closed: the schedule changed), or when its first shift starts (Closed: the shift started).
- You can withdraw a request while it's open; its links then say so.
Emails and limits
- With trade emails on in My account, Capillary emails you when a colleague says yes, when everyone has said yes, if someone says no, and when the swap is done. The emails never name a colleague: "A colleague said yes to your swap request for Fri, Oct 16."
- Up to 10 open requests for one shift, and 30 in all.
- Requests, with their answers, are deleted 30 days after the swap's last shift.
Common questions
- Do my colleagues need a Capillary account?
- No. Each link opens a page that needs no account and no sign-in.
- Does Capillary enter the swap for us?
- No. Capillary reads your group's calendar and never writes to it. You enter the trades in your scheduling app, and Capillary notices when they show up.
- Who sees the answers?
- The people in that swap: each colleague's page shows everyone's answers so far. Capillary deletes the request and its answers 30 days after the swap's last shift.
Find swaps in your own group's schedule.
Find a swap is free for clinicians. Bring in your group's schedule from its calendar link, and Capillary checks every swap for overlaps and rest for both people, puts the colleagues most likely to say yes first, and finds three-way swaps, and bigger ones where smaller swaps run short. Your copy is yours: no one in your department or hospital sees it (who can see what).
