One account for every ED you work at
Updated October 10, 2026 · 3 min read
One Capillary account can belong to several emergency departments, with its own role at each. Capillary checks your published shifts at your other sites whenever a scheduler at one site saves or publishes. It looks for overlaps and for less rest than that site requires. You see every site's shifts in one month view and in one calendar link.
Joining a second department
- 1
Accept the second invitation
A second department invites you by email, the same way the first did. If you're signed in, the invitation shows as a banner that says you keep your current department. Join adds the new one to your account.
- 2
Switch between departments
A menu at the top of the page lists every department you belong to. It marks the ones where you're the owner or a scheduler. You can be a scheduler at one and a clinician at the other.
- 3
Or set one up
A scheduler who runs two EDs can set up the second one from the first department's page. One account can set up as many as 20 departments this way.
Ask both departments to invite the same email address. Joining needs the invitation's address to match the one you sign in with.
What the checks see at your other sites
Join each department from an invitation sent to the email on its roster. Then every save at one site counts your published shifts at the other.
- Only published shifts count. Another site's draft stays private to its schedulers and never blocks you.
- The department doing the save uses its own minimum rest.
- Times are converted from each site's own time zone before the check.
- Messages say "a shift at another site" with its date. They never name the other hospital.
- In the assignment list, a scheduler sees "works at another site" next to your name. They can't pick you for a shift that would overlap or cut into your rest.
- Saving, publishing, trades and call-out coverage all run the same check.
A night at one site, then an evening at the other
Say Rosa Grant, an emergency physician, works at Lakeside ED and Ridge ED, two fictional EDs in the same time zone. Lakeside's minimum rest is 11 hours, the EU's minimum daily rest. Ridge's is 10. Ridge has published Rosa's night shift from 23:00 Thursday, Dec 10, 2026, to 07:00 Friday, Dec 11.
| Lakeside shift | Time off around Ridge's night | Rosa in Lakeside's list |
|---|---|---|
| Thu Dec 10, 19:00 to Fri 07:00 | None. It overlaps from 23:00 to 07:00. | Can't be picked |
| Fri Dec 11, 15:00 to 23:00 | 8 h after the night ends | Can't be picked |
| Fri Dec 11, 19:00 to Sat 07:00 | 12 h after | Can be picked |
| Sat Dec 12, 07:00 to 19:00 | 24 h after | Can be picked |
Say Rosa was already on Friday's evening shift in Lakeside's draft when Ridge published. Lakeside's next save then stops with "Evening shift on Dec 11: less than 11 hours of rest from a shift at another site on Dec 10."
All your sites in one view
Once you're on the roster at two or more departments, you get an All my sites tab. It shows a month of your published shifts at every site, each site in its own color. It also totals your shifts, hours and nights for the month.
One calendar link carries all of them. Each event's title gives the shift and the department, such as "Night shift · Ridge ED". The steps for each calendar app are in subscribing to a work schedule calendar.
A hospital that uses another scheduling app can show up in All my sites too. Add its calendar link under Calendars in My account (how). The checks don't see those shifts.
What it does not do yet
- Trades stay inside one department. You can't swap with a colleague at your other site.
- The checks see only departments that schedule in Capillary.
- Time off approved at one department doesn't block shifts at the other.
- Rest runs from the end of one shift to the start of the next. Drive time between hospitals isn't added.
- Saving doesn't check total hours across sites. All my sites shows each month's total.
Try it
The demo shows one fictional department and needs no account. To work across sites, sign in or create an account, then accept each department's invitation. See working at two hospitals for what to check by hand when your sites don't share a schedule.
Common questions
- Can the scheduler at one hospital see my shifts at the other?
- They see that you work at another site when it affects a shift they're filling. The other hospital's name never appears. Each department's drafts stay private to its own schedulers.
- Which minimum rest applies between sites?
- The rule of the department that is saving. With 11 hours at Lakeside and 10 at Ridge, a 10-hour gap stops a save at Lakeside and passes at Ridge.
- What if my hospitals are in different time zones?
- Each site's shifts are converted from its own time zone before the check. A 19:00 to 07:00 night in Chicago ends at 08:00 New York time. A New York shift starting at 07:00 that morning overlaps it by an hour. All my sites shows each shift in its own site's local time.
