Next month's draft: from your calendar to a month you can check
Updated November 1, 2026 · 2 min read
Next month's draft reads your group's calendar, works out your usual week and who works which shifts, and fills the coming month by the rules you type in. You see it beside a month from your calendar: hours, nights, weekend shifts and short gaps between shifts. Only you see it. If you like it, set up a department from it or download it as a spreadsheet.
From a calendar link to a draft
- 1
Bring in your calendar
Use the link or file that lists everyone's shifts, not only yours. It needs at least 4 weeks of shifts, and each entry needs the shift and the person's name.
- 2
Check what we read
The page shows each staff group, your usual week and the people in it. Uncheck anyone who has left or is away for the month.
- 3
Set your rules
Type the minimum hours between shifts. Max shifts a week and max days in a row start at 5 and 6, and you can change them.
- 4
Build the month
It takes up to 30 seconds. If some shifts can't be filled, the page says what stops them.
- 5
Compare it
The draft sits beside the same month in your calendar, or your last full month if that one hasn't happened yet. You see open shifts, short gaps between shifts, heavy weeks and long runs, and the lowest and highest person in each group for hours, nights and weekend shifts.

Keep it
Set up a department to change shifts, add time off and publish, or download the month as a spreadsheet.
What we read from a calendar
- We read the last 8 full weeks, or as many as the calendar has. Days with under half the usual shifts aren't read, because the ends of a calendar are often only partly filled.
- A shift goes in your usual week if it shows up on that weekday in more than half of those weeks.
- Backup and on-call entries, meetings and day markers are left out, and so are shifts that list a role instead of a person's name and shifts over 24 hours. The page gives the count for each.
- Each person keeps about the number of shifts they usually work, and the draft evens out nights and weekend shifts around that.
- People stay on the shifts they worked in those weeks. Uncheck Keep people on shifts they worked in these weeks to let anyone in a staff group work any of its shifts.
What a calendar can't tell us
- Time off. The draft has none until you set up a department and add it.
- The rest your group needs. That's why you type it in.
- Contract limits, leave policy and who is allowed to work what. We use only the rules you enter and the shifts people have worked.
- Holidays. A holiday gets a normal day's shifts. The page names the ones in that month: US federal holidays, Christmas Eve and New Year's Eve.
Who sees it
Only you. Your calendar stays private to your account, and nobody hears from us. If you set up a department, people come in without an email address, and you add one when you invite them. Removing the calendar deletes its drafts.
Common questions
- Does anyone get told when I build a draft?
- No. Nobody gets an email when you build a draft or set up a department from one. People hear from us only when you invite them.
- Can I try it on a month my calendar already covers?
- Yes. Pick a month up to 3 months before your calendar ends. We read the weeks before it, so you can set the draft beside what really happened.
- What does it cost?
- The draft is free. A department's first 3 months are free, counted from the first month it publishes. After that it pays for each month it publishes. See pricing.
- How is this different from Build my month?
- Build my month fills a department you already run in Capillary. This starts from a calendar, for when your schedule lives somewhere else.
Build your ED schedule with rest checked on every save.
Capillary checks role, overlapping shifts and rest, including shifts at other sites, before anything is published or traded.
